Terms of Use

Article 1: Overview

"KIKA contemporary art space" (hereafter referred to as KIKA cas) is an art space dedicated to promoting creative interac- tion through solo and group exhibitions, performances, and talk events centered on contemporary art.


Article 2: Membership and Sponsorship Information

KIKA cas offers three types of membership plans to provide art enthusiasts with unique experiences. Each plan includes benefits such as discounts on art purchases, priority access to special events, and access to the members-only lounge. Additionally, members who host events receive a commemorative gift based on their membership level (please refer to the separate document “Guide to KIKA Members” for details on benefits). We also welcome donations and sponsorships from individuals and organizations to support KIKA cas’s activities and special exhibitions. Please contact us for further details.


Article 3: Gallery Rental

KIKA cas is available for a variety of creative activities, including solo and group exhibitions, performances, talk events, and the exhibit or sale of artworks, with a focus on contemporary art. To use the space, please contact us in advance and provide materials detailing your planned project. We reserve the right to refuse an inquiry depending on the content of the project.


Article 4: Rental Period

KIKA cas operates on the weekends only (Friday, Saturday, Sunday, and holidays) from 13:00 to 19:00. Staff will be present to lock and unlock the premises, but are not responsible to attend and interact with customers in the gallery space during the exhibition period. The Renter is responsible for being present in the gallery during the entire exhibition period. While weekday rentals can be arranged for VIP visits, weekday single-day rentals are not available.
Setup should be done on Mondays and takedown on Thursdays during business hours. If Monday or Thursday falls on a holiday, the preceding or following weekday will serve as the setup or takedown day. Additional weekday rental fees apply if setup or takedown is required on any other day (i.e. Tuesday or Wednesday). Storage of works outside the contracted rental period is generally not permitted.


Article 5: Usage Guidelines

Gallery Business Hours: Fridays, Saturdays, Sundays, and holidays from 13:00 to 19:00
※ Use after 19:00 is considered outside business hours and will incur overtime fees as specified in Article 6 (maximum extension until 22:00).
※ For rentals of one week, one extension until 22:00 is permitted without an additional fee; for rentals of two weeks or more, two extensions until 22:00 are permitted.
Capacity: 20 people

Lounge

Business Hours: Fridays, Saturdays, Sundays, and holidays from 13:00 to 19:00

* All amounts in Euro (€) and US Dollar ($) are fixed as of December 28, 2024. Exchange rate adjustments for Euro and US Dollar will be revised every three months.

Setup and Takedown Days

Setup and takedown are typically scheduled on Mondays and Thursdays. If these fall on holidays, the preceding or following weekday will be designated.
Staff do not assist with setup and takedown. Paid assistance can be arranged if needed.

Please note the different overtime rates. Other activities may be conducted in the gallery on weekdays.

Hourly Rentals

Available for events like talks and performances. Rentals are limited to business hours and exhibition schedules take priority. In unavoidable cases, weekday rentals are charged at 1.5 times the standard rate.

Membership Benefits

When members host events, commemorative gifts are presented at the opening or event. Friend (F) members receive a gift worth approx. ¥2,000, Supporter (S) members receive a gift worth ¥4,000, and Patron (P) members receive a gift worth ¥8,000.

Article 7: Lounge Rental

The lounge is available for use by members with Supporter-level membership or higher. Lounge reservations are on a first-come, first-served basis regardless of membership type. Priority will be given to events organized by KIKA cas, such as exhibitions and talk events.

Lounge capacity is limited to 10 people, and usage beyond this limit will not be permitted. Lounge rental rates based on membership type are as follows:

Article 8: Cancellation Fees

Gallery Use

  • Cancellation within 3 months from the 1st day of the event: 50% of the fee (including tax)
  • Cancellation within 1 month from the 1st day of the event: 100% of the fee (including tax)

Lounge Use

  • Generally free, but Renter must notify as early as possible regarding cancellation

Article 9: Cleanup, Takedown, and Exhibition

  • All cleanup and takedown activities must be completed within the designated rental period.
  • All tasks related to moving, setting up, cleaning up, and removing exhibited works are the responsibility of the Renter. The Renter must also take out and dispose all trash/recyclables generated during the installation from the premises ontheir own.
  • Invitations, posters, and other promotional materials should be prepared at Renter’s discretion.
  • The Renter or Renter’s designated representative must be present in the gallery throughout the entire exhibition period.
  • After the exhibition, KIKA may request photos of the exhibited works for documentation purposes. Staff may also take photographs during the exhibition.
  • The venue must be restored to its original condition upon Renter’s departure.
  • Nails and screws may be used on walls, but any holes (using spackle, putty, etc.) must be patched up and repaired before leaving.
  • Using nails, screws, or adhesives on the floors are prohibited.
  • Using double-sided tape is prohibited from any surface, including floors and walls.
  • Gallery fixtures and fittings, excluding items designated solely for gallery use (i.e. accounting supplies, internet access, etc.), are available for free use. (Please consult for details)
  • Prior approval is required for the use of any non-gallery equipment.
  • Prior consultation is required for the use of speakers or amplifiers.

※ Staff are not responsible for providing explanations, interpretations, or gallery presence beyond venue and fixture rental.


Article 10: Responsibility

  • The Renter is responsible for managing the venue and all exhibited works.
  • Smoking is prohibited throughout KIKA cas, including the lounge.
  • KIKA cas is not liable for fire, theft, loss, damage, accidents, or disasters. If necessary, the Renter should obtain their own insurance.
  • Any damage or loss to the venue, equipment, furniture, or KIKA cas-owned or consigned works will requirecompensation at cost. If the damage affects operations, additional compensation for lost business may be required.
  • KIKA cas has no parking; please use nearby parking facilities.
  • During the rental period, trash/recyclables must be separated according to Kyoto City regulations. Any waste generatedduring setup and cleanup must be taken out and disposed by the Renter.
  • Any items left for over one month after the rental period will be considered abandoned, and KIKA cas may dispose of them at the Renter’s expense if disposal fees are generated.

Article 11: Sale of Exhibited Works

  • No commission fee is charged if the exhibitor handles the sale of works independently.
  • A commission fee of 30% or more (excluding tax) of the sale price will apply in the following cases:
    • When a sale is made with a KIKA cas client.
    • When KIKA cas is entrusted with payment processing, sales, packing, or delivery.

※A sales list (including merchandise) must be submitted in advance if planning sales, regardless of KIKA cas involve-ment.


Article 12: Prohibited Items

The following acts are prohibited. Use must cease immediately during the rental period, with no refund.

  • Use that differs from the intended purpose
  • Subleasing or transferring the right of use to a third party
  • Smoking within the KIKA cas building
  • Any acts, music, or smells (such as aroma or incense) that may disturb other occupants, visitors, or neighbors
  • Expressions or acts that are violent, obscene, discriminatory, anti-social, politically charged, or otherwise offensive to public order and morals (as defined in Article 90 of the Civil Code), or any acts that violate laws and regulations
  • Exhibiting or selling items that infringe on the rights of others, such as copyrights or portrait rights

Article 13: Disclaimer / Other Provisions

Any matters not specified in these terms will be addressed through individual consultation and confirmed in writing or by email. If the organizer or renter violates these terms, KIKA cas may terminate use without a refund.
KIKA cas assumes no responsibility in the following cases:

  • Losses due to force majeure, such as natural disasters or infectious diseases, making use difficult
  • Damages arising from renter's violation of these terms
  • Theft or damage of valuables or exhibited works
  • Legal issues concerning exhibited works or merchandise
  • Responsibility for injuries or accidents occurring during the rental period

Application Process

Reservations are accepted up to one year before the desired start date. Please first inquire about gallery availability by contacting KIKA contemporary art space. On-site viewings are also available upon prior arrangement.
Once dates are confirmed, please submit a rental application form along with materials detailing the exhibition content. The gallery will review your application, and if approved, a contract will be issued. KIKA cas reserve the right to refuse an inquiry depending on the content of the project.
After signing the contract, a 50% deposit of the rental fee is due within one week. The rental reservation will be finalized upon receipt of the deposit. If payment is not received, the reservation will be canceled. The remaining balance is due no later than seven days before the rental date. Failure to pay by this deadline will be considered a cancellation by the Renter.
